Three minutes – 3 SharePoint 2013 Permissions Tips

What can you learn in three minutes? Give me that time today and I’ll give you three tips to manage site permissions and demonstrate your permissions mastery! Ready, set, GO!

Minute one – Add and Remove Group Members on the Fly!

Access the gear icon and select Site Settings. Next select the People and Groups option from Users and Permissions. From your left side navigation, select the Group that you wish to manage. In this example we are managing “Nora Owners.”

Your view now appears like the one below; you see the members of this group.

To remove a member of the group, take the following actions: Select the box next to the user name, select “Actions” and “Remove User from Group.”

If you selected the wrong user, you can cancel the operation, otherwise select OK. You’re done!

To add a member to a group, return to your group membership and select the “New” option and “Add Member to this Group.” Next use the People Picker to find the user you desire to add to the site and provide them a friendly note to let them know they’ve been added to the site. Finalize this by selecting “Share.” The added user will now display in the group membership.

How are we doing on time?

Minute two – Manage site access requests

Just who is going to manage all of those site access requests? Did you know it doesn’t have to be you? Follow these quick steps to delegate the management of site access requests.

Access the gear icon and select Site Settings. Next select the Site Permissions option from Users and Permissions. In the “Manage” section of the ribbon find and select “Access Request Settings.”

A dialog box will appear and direct you to do three things: Check the box to allow access requests, fill in an email for who will handle these requests and select OK. That’s it!

One note, you do need to know the person’s email address – this is not a People Picker function that allows you to source a user from Active Directory.

To change the delegation of access request settings, repeat the steps and update the email address of the newly responsible party.

We’re in the home stretch!

Minute three – Edit the Groups Quick Launch

Once you graduate into managing many sites with unique permissions the Groups listing on your Quick Launch can become longer and harder on the eyes. You can quickly edit the Quick Launch to display just the options that you want to see.

To begin, we need to return to People and Groups, so access the gear icon and select Site Settings. Next select the People and Groups option from Users and Permissions. You should be a pro at this by now, so refer to the first two quick tips for visual cues if you need it. Once at this destination select “Groups” from your Quick Launch – this will open your list of groups.

At the top of your groups list you’ll see a menu with options for “New” and “Settings.” Select

Settings and edit the Quick Launch.

The next function is to select the groups you wish to include in the Quick Launch.

For our purposes today – we’d like to remove “Excel Services Viewers” from the Quick Launch.

For reference, here is what the Quick Launch currently looks like with Excel Services Viewers in

the second position from the top. Simply edit out the Excel Services Viewers Group from the

picker and select OK.

Check back on your Quick Launch and you’ll see that the Excel Services Viewer Group is no longer listed.

If you need it back, repeat the steps and look up the Excel Services Viewer Group using the picker tool and you can put it right back.
